COVID-19 CONSIDERATIONS


COVID-19 Protocols

We have carefully considered ways to provide the safest possible environment and to alleviate COVID concerns to the greatest extent possible. We strongly believe that the protocols below will allow us to safely gather for the Women in the Round retreat. Thank you in advance for your consideration and cooperation in following these protocols.  Note: These protocols are subject to change, depending on the status of the coronavirus pandemic as the retreat date gets closer.

REQUIRED:

Proof of COVID-19 vaccination: Proof of vaccination (including booster shot) to be presented to Ghost Ranch personnel upon arrival at check-in.

Negative COVID test within 72 hours of arrival at retreat: Proof of a negative result from a COVID diagnostic test administered within 72 hours of your arrival at the retreat venue, presented to Ghost Ranch personnel upon arrival at check-in.

ALSO:

Masking indoors at retreat: Masks are required in all public indoor locations at Ghost Ranch except when eating or drinking. In our private yoga space, once you are on your mat, you may remove your mask for the duration of the yoga practice, if you wish. Note: If Ghost Ranch lifts or revises its mask requirement prior to our retreat date, Women in the Round will follow the revised Ghost Ranch policy.

Masking while traveling to the retreat: We ask that you please wear a mask while traveling through airports, on planes, and on public transportation on your way to the retreat venue. We recommend using a KN95 mask for best protection.

Smaller group sizes: To the extent possible, we will split the retreat group into two or three sub-groups and alternate the sub-groups between art-making and yoga/movement, so there are fewer people in each meeting space for each activity.

Outdoor dining option: There is both indoor and outdoor seating available for meals. By the time our March 26 retreat date arrives, it may be warm enough to comfortably sit outside for some meals.

Outdoor activities: When it is practical to use an outdoor space for an activity, we will do so.


NOTE:
Before registering for this retreat, please be sure you have proof of vaccination (or be confident that you will have proof of vaccination by the date of the retreat) OR be prepared to bring with you to Ghost Ranch the result of a negative COVID test administered within 72 hours of your arrival at Ghost Ranch.


COVID-19-related Recommendations

TRAVEL INSURANCE (HIGHLY RECOMMENDED): We highly recommend you purchase travel insurance to cover the nonrefundable costs of your trip, including your retreat fee and airfare. Travel insurance can reimburse nonrefundable trip costs if unforeseen circumstances prevent you from attending the retreat, or if you change your mind (see the “Cancel for Any Reason” option). See below for more information.

  • Standard Travel Insurance: Travel insurance generally costs between 5% and 10% of the amount you are insuring, and it reimburses 100% of your nonrefundable costs if you cancel your trip for a covered reason (e.g., a doctor-documented illness that prevents travel). It also covers certain costs in the case of trip delay, trip interruption, and medical expenses should you get sick while traveling. Check for policies that cover COVID-related travel problems.

  • “Cancel for Any Reason” Option: You may also want to consider adding “Cancel for Any Reason” (CFAR) coverage to your policy. CFAR coverage generally adds 40-50% to the cost of the policy and reimburses 50-75% of your insured trip cost, allowing you to cancel your trip for any reason, including if you simply change your mind.

    • Act quickly for CFAR: Check your policy for the deadline for adding the CFAR option. CFAR usually needs to be added within 10 or 14 days of your initial trip payment or trip deposit.

CONSIDER REFUNDABLE AIRFARE: We recommend purchasing a refundable fare to give yourself maximum flexibility. Most airlines are now offering fully refundable fares for a reasonable price differential ($50 to $90). If you book a refundable fare, there’s no need to include your airfare on your travel insurance policy. If you need to cancel your trip, you’ll work directly with the airline to claim your refund, and you will avoid the middleman (i.e., the insurance company).

TAKE PRECAUTIONS WHILE TRAVELING: We ask that all retreat participants please take precautions while traveling to the retreat, including wearing a mask (preferably a KN95 mask) while traveling through airports, on planes, and on public transportation.
